Nobody sent me templates. Nobody told me how to handle a no-show, when to ask for a deposit, what to say when a guest messages at 11pm asking about Saturday. I figured all of it out the hard way, between 2011 and now. This is everything — the software we run on, and the actual scripts and systems. Free, because I wish someone had just sent me this in year one.

A good chunk of running an ocean business is the same conversation, over and over. The same questions, the same booking steps, the same follow-up three days later. I used to write all of it fresh every time. At some point I started writing things down so I didn't have to think so hard, and eventually I had a folder full of stuff I reached for constantly.

Why this wording: it answers their question (yes, space Saturday), asks only what's needed to move forward, and the "no worries either way" removes the embarrassment that stops beginners committing. I have been doing this since 2011. I learned what a proper waiver should say from a liability scare I don't want to repeat. I figured out deposit timing by getting no-showed twice in one weekend. The review sequence came from watching an entire summer's worth of happy guests leave without leaving a review, because nobody asked. None of this is clever. It's just stuff I should have written down earlier.

Paper waivers go missing exactly when you need them. A digital waiver tool (Smartwaiver is the common pick) lets a guest sign on their phone before they arrive, stores it forever, and timestamps it. Worth every rupee the first time a question comes up.

Where 90% of our enquiries actually happen. The catalogue and quick-replies features are basic but useful. The problem isn't WhatsApp itself — it's the volume, and the fact that the messages don't stop at closing time.

Zoho BooksAccounting · GST

GST filing in India is its own kind of weather. A proper accounting tool that handles GST natively saved us from a very expensive relationship with spreadsheets. Pair it with an accountant who actually knows tourism.

Stays — but pay the accountant too.

One rule before you add anything to your own stack: a tool should remove a job, not add one. If it needs a full-time babysitter, it's not a tool, it's a hire. We talk through what's actually working (and what's quietly wasting money) in the group all the time.
